Refund Policy

Last updated: 26 June 2026

This Refund Policy explains how cancellations and refunds work for bookings made through FITvena. Specific terms marked in brackets are placeholders to be finalized.

1. Overview

This Refund Policy applies to bookings and purchases made through FITvena and forms part of our Terms of Service. Because FITvena is a marketplace, refunds relate to services and products provided by independent Trainers, processed through our payment provider, Stripe.

2. Booking Cancellations

Clients may cancel a booking subject to the cancellation terms below. [The specific cancellation windows are placeholders to be finalized by FITvena and legal counsel.]

  • Cancellations made [X hours/days] or more before the scheduled session: eligible for a full refund [placeholder];
  • Cancellations made less than [X hours/days] before the session: [non-refundable / partially refundable — placeholder];
  • These windows may vary by Trainer where permitted, subject to applicable consumer law.

3. Refund Eligibility

Refunds may be available where a session is cancelled within the eligible window, where a Trainer fails to deliver a booked service, or where required by applicable consumer-protection law. Refunds are generally not available for services already delivered, except where the law provides otherwise.

4. How Refunds Are Processed

Approved refunds are processed through Stripe to your original payment method. Refunds may take [X business days — placeholder] to appear, depending on your bank or card provider.

5. EU Right of Withdrawal

Consumers in the EU generally have a 14-day right of withdrawal for distance contracts. Important exception: for service contracts, where performance begins with your prior express consent and acknowledgement that you lose the right of withdrawal once the service is fully performed, the 14-day right may no longer apply. This commonly affects sessions that are booked and delivered.

[This section must be reviewed by legal counsel to ensure the consent flow, acknowledgements, and carve-outs are correctly implemented and disclosed — placeholder.]

6. Trainer-Initiated Cancellations

If a Trainer cancels a confirmed booking, the Client is entitled to a full refund of that booking or the option to reschedule, where available. We may take action regarding Trainers who repeatedly cancel.

7. No-Shows

If a Client does not attend a booked session without cancelling within the eligible window, the booking may be [non-refundable — placeholder]. If a Trainer does not attend, the Client is entitled to a full refund or reschedule. [Final no-show policy to be confirmed.]

8. Disputes

If you have an issue with a booking or a refund, contact support@fitvena.com. We will review the situation and may mediate between the Client and Trainer, though FITvena is not a party to the underlying service contract.

9. Platform Fee on Refunds

Where a booking is fully refunded, the related platform commission is [reversed accordingly — placeholder, to be confirmed]. Treatment of fees for partial refunds and Trainer-initiated cancellations will follow the finalized policy.

10. Contact
